Chapter 01
It's 11pm and the phone's ringing
The job you lost while you were busy doing the last one.
Chapter 01
It's 11pm and the phone's ringing
The job you lost while you were busy doing the last one.
You are under a sink, mid-appointment, showing someone through a property or standing in front of a class, and the phone goes. You cannot get to it. By the time you can, they have rung the next business on the list and booked someone else.
That is the job you never knew you lost. It does not show up anywhere. There is no missed-call report that says 'this one was worth a Saturday'.
What follows is what actually happens when an AI employee picks that call up instead — start to finish, no sales talk.
Chapter 02
Every call answered, every lead captured
Picks up in under two seconds and saves the lead before it does anything clever.
Chapter 02
Every call answered, every lead captured
Picks up in under two seconds and saves the lead before it does anything clever.
Every call you forward to it is answered in under two seconds. Day or night, weekends, public holidays. It does not matter whether you are with a customer, asleep, or already on another call.
Most businesses forward only the calls they cannot get to — no answer, busy or out of range — so it picks up the ones you would have missed. When you are flat out, forward everything and it takes every call.
The first thing it does is save the lead — in under half a second, before it tries anything clever. That matters: even if the conversation goes sideways, you still have the person's details and the fact that they called.
And it is not a phone menu. Nobody presses one for accounts. It is an AI employee — one of them, that you hire and name yourself.
The same list catches everything else too: your contact form, text messages, a directory job email, an enquiry sitting in your inbox. One list, not five places to look.
Chapter 03
It only answers from your own information
It reads your website and your documents, and it refuses to guess a price it does not know.
Chapter 03
It only answers from your own information
It reads your website and your documents, and it refuses to guess a price it does not know.
It reads your website and any documents you give it — your services, your hours, your areas, your price list. It answers from that. Only that. Not from the internet, and not from what it reckons a business like yours probably charges.
So when someone asks what a call-out costs, whether you take their health fund, or when the next intake starts, they get your answer, not a plausible-sounding one.
What it will not do
- When it does not know, it says so out loud: it will not guess, and it books a callback so one of your people can give a real answer instead.
- That is the whole reason you can leave it on the phone unsupervised. The dangerous version is not the one that admits it does not know — it is the one that invents a price and leaves you with a customer holding you to it.
Chapter 04
It hears what they actually want, and books it
Emergency or price shopper, it can tell — then offers two real slots from one shared diary.
Chapter 04
It hears what they actually want, and books it
Emergency or price shopper, it can tell — then offers two real slots from one shared diary.
It works out what kind of call this is. Someone with water coming through the ceiling gets treated differently from someone ringing round for the cheapest quote — and it can tell the difference from how they talk about the job.
Then it offers two real times out of your actual diary, inside the booking hours you set and with at least an hour's notice. Not a maybe, not 'someone will call you back to arrange it'. Two slots that are genuinely free.
It asks for an email because the calendar invite has to go somewhere, and it says exactly that rather than harvesting the address for no stated reason. The invite comes from your business, from your own email address, with reschedule and cancel links that work.
That is the same diary your booking page and your text messages are looking at. One set of availability, so it cannot double book you.
Chapter 05
The missed call that texts back
A caller hangs up before it is sorted, a text lands in seconds, and the same brain books the job over SMS.
Chapter 05
The missed call that texts back
A caller hangs up before it is sorted, a text lands in seconds, and the same brain books the job over SMS.
If a caller hangs up before it is sorted, they get a text within seconds — a real reply, not a canned 'we missed you'. It picks up the conversation where the phone left off, and it can book the job over text just as well as over the phone.
It only texts callers who reached your AI employee. It will not text the same person again within three hours, and it skips anyone who has already booked.
That first text is a reply, because they rang you first. It still carries the opt-out, and it still respects the do-not-contact list.
What it will not do
- Text STOP and they are off instantly and permanently: no more texts, follow-ups or marketing — not from you, and not from anyone else on the platform. Only emails about a booking they have already made can still reach them.
Chapter 06
Knows who is hot, and which channel to use
Scores every lead as they behave, then follows up on the channel they actually answer.
Chapter 06
Knows who is hot, and which channel to use
Scores every lead as they behave, then follows up on the channel they actually answer.
Every lead gets a score, and the score moves as they behave. Someone who replies twice and asks about timing is not the same as someone who filled in a form and went quiet.
Then it follows up on the channel that person actually answers — text, or email — and it keeps a polite follow-up going over the next week. That follow-up you never get around to is usually the difference between a quote and a job.
And when one of them needs a real answer from you rather than another nudge, you do not have to sit down and write it. Open the lead, say what you want said — quote a price, confirm a time, answer their question — and the reply comes back written in your words, on the channel that person can actually be reached on.
It checks that before it writes a word. Whether you are allowed to text or email that person, and on which of the two, is worked out first — because a perfect message to someone you should not be contacting is worse than no message. Then you read it, change whatever you like, and send it yourself.
What it will not do
- It keeps proper hours. Follow-up texts go out between 8am and 8pm on weekdays and 9am to 5pm on Saturdays — never on Sundays or public holidays. It will not message someone at a time that makes you look like a pest.
- It stops the second they reply, book, or opt out.
- A reply it writes for you is a draft, not a send. It sits there with your name on it until you press send, and you can rewrite every word of it first.
- It will not cold-call on your behalf. If someone genuinely needs a phone call, it puts them at the top of your callback list rather than dialling them itself.
- Marketing consent is asked for separately, and it never blocks anyone from filling in your form or booking a job. Say no, and you still get your booking.
Chapter 07
Quote, invoice, paid
You build the quote, the customer accepts online, and the accepted quote becomes the invoice.
Chapter 07
Quote, invoice, paid
You build the quote, the customer accepts online, and the accepted quote becomes the invoice.
Once a job has been scoped, you build the quote in your portal, from your own prices, and email it.
The customer opens it on their phone — no login, no account, no password to forget — reads it, and accepts by typing their name.
The accepted quote becomes the invoice automatically. Same numbers, your own numbering, nothing re-typed.
You email the invoice with your payment details and mark it paid when the money lands. The money never touches us at any point — we just move the paperwork.
Quotes are not chased automatically. When one goes quiet, your AI employee drafts a follow-up; you check it and send it. For most small businesses, quotes sent and never followed up is the single biggest hole — this puts the follow-up one tap away.
What it will not do
- A quote never goes out in your name without you sending it. That is deliberate, and it does not change.
- Customers cannot pay by card online yet, and there are no automatic overdue reminders. You are not notified when a quote is accepted — check your quotes list.
Chapter 08
A text at 6:30 and a Monday summary
What happened overnight, in one short text — and a weekly wrap that stays quiet on a quiet week.
Chapter 08
A text at 6:30 and a Monday summary
What happened overnight, in one short text — and a weekly wrap that stays quiet on a quiet week.
After every call you get an email summary. Then at half six on weekday mornings you get a text: what came in overnight, what is booked today, and which ones are worth ringing first. It is short, and it does not pad itself out to look busy.
On Monday you get the week: what came in, what got booked, and how that compares to the week before.
What it will not do
- On a genuinely quiet week it does not send. It stays quiet rather than emailing you a page of zeroes — the fastest way to get someone to ignore a report is to send them a pointless one.
Chapter 09
One screen, and who this is actually for
The dashboard in plain English — then the honest answer on who should not buy this.
Chapter 09
One screen, and who this is actually for
The dashboard in plain English — then the honest answer on who should not buy this.
There is one screen, and it is in English. New lead captured. Job booked. Hot lead. A list of what happened, not a wall of graphs.
Next to it is one list of what is waiting on you: every message your AI employee has written and is holding, sitting with the lead it is about. Approve it, change it first, or leave it. Nothing in that list has gone anywhere yet.
You name your AI employee, you pick which jobs it does, and you can switch any of it off. It is live in minutes — your two jobs are forwarding your number and connecting your calendar. It never sleeps, and it never gets sick of the phone.
What it will not do
- This is for an owner whose day is spent with customers — on a job, in a consult room, at an inspection, in a classroom — and who cannot get to the phone. That is it. If you have someone on reception who never misses a call, you do not need this.
Ready when you are
